1. INTRODUCTION
Anglican Care (“we,” “us,” “our,” or “the Ministry”) is a 501(c)(3) nonprofit religious organization that facilitates the voluntary sharing of medical needs among its Members. We are committed to protecting the privacy and security of the personal, health, and financial information that Members entrust to us.
This Privacy Policy describes how we collect, use, disclose, and safeguard information obtained from Members, prospective Members, brokers, website visitors, and other individuals who interact with Anglican Care. By enrolling as a Member, providing information through our website, or otherwise engaging with the Ministry, you acknowledge and consent to the practices described in this policy.
2. SCOPE OF THIS POLICY
This policy applies to all information collected by Anglican Care through:
- Membership enrollment forms, applications, and supporting documents
- Medical need submissions and related correspondence
- Monthly contribution and payment processing
- Our website at anglicancare.org and the Member portal
- Communications by phone, email, mail, or in person
This policy does not apply to information collected by third-party service providers, medical providers, or brokers acting on their own behalf. We encourage you to review the privacy policies of any third party with whom you interact in connection with your membership.
3. KEY DEFINITIONS
For purposes of this Privacy Policy, the following terms have the meanings set forth below:
Personal Information: Any information that identifies or can reasonably be used to identify a specific individual, such as name, address, phone number, email address, date of birth, and Social Security number.
Health Information: Any information related to a Member’s physical or mental health, medical conditions, treatments, prescriptions, or health care services received, whether provided by the Member or a health care provider.
Financial Information: Bank account numbers, credit or debit card numbers, routing numbers, and any other payment-related data collected for the purpose of processing Monthly Contributions.
Member: An individual who has enrolled in Anglican Care and whose membership is in good standing or in a grace period.
Prospective Member: An individual who has expressed interest in or submitted an application for membership but has not yet been approved or enrolled.
4. INFORMATION WE COLLECT
Anglican Care collects the following categories of information from Members, prospective Members, and other individuals who interact with the Ministry:
4.1 Personal Information
- Full legal name and any former names
- Date of birth and gender
- Mailing address, phone number, and email address
- Social Security number (for identity verification only)
- Spouse and dependent information (names, dates of birth, relationship)
- Statement of faith affirmation and signature
- Emergency contact information
- Primary care provider name and contact information
4.2 Health Information
- Medical history disclosed on the enrollment application
- Diagnoses, treatment codes, and itemized medical bills submitted for sharing
- Prescription medication information
- Provider names, dates of service, and explanations of services rendered
- Pre-existing condition disclosures and waiting period tracking
- Medical need determination records and appeal correspondence
4.3 Financial Information
- Bank account and routing numbers (for ACH contributions)
- Credit or debit card numbers (processed through our payment processor)
- Monthly contribution amount and payment history
- Billing address and authorized payment methods
4.4 Technical & Website Information
- IP address, browser type, and device information
- Pages visited, time spent, and referring URLs (via cookies and analytics)
- Form submissions through anglicancare.org or the Member portal
- Communications sent to Ministry email addresses
5. HOW WE USE YOUR INFORMATION
Anglican Care uses the information we collect for the following purposes:
Membership Administration: Processing enrollment applications, maintaining membership records, verifying eligibility, and managing the Member relationship.
Medical Need Sharing: Reviewing, processing, and coordinating the sharing of medical needs submitted by Members, including verifying eligibility under the Sharing Guidelines and communicating determination outcomes.
Contribution Processing: Processing Monthly Contributions, managing payment methods, tracking contribution history, and sending payment reminders and confirmations.
Communication: Sending Members important notices about their membership, sharing determinations, policy updates, Ministry news, and faith-based content.
Compliance & Reporting: Maintaining records as required by law, supporting audit functions, and preparing aggregated, de-identified reports for Ministry operations.
Website Improvement: Analyzing website usage patterns to improve user experience, fix technical issues, and enhance the Member portal.
Fraud Prevention: Detecting, investigating, and preventing fraudulent submissions, false claims, or misuse of the sharing ministry.
5.1 Legal Basis for Processing
As a religious organization, Anglican Care processes personal and health information based on the Member’s voluntary consent provided at the time of enrollment, the Ministry’s legitimate interest in administering the sharing program, and compliance with applicable legal obligations. Members may withdraw consent for certain processing activities, though doing so may affect their ability to participate in the sharing ministry.

6. INFORMATION SHARING & DISCLOSURE
Anglican Care does not sell, rent, or lease Member information to any third party. We share information only in the limited circumstances described below:
6.1 Sharing Within the Ministry
When a medical need is approved for sharing, the Ministry may share limited information about the need with contributing Members for the purpose of facilitating the sharing process. This may include the Member’s first name, a general description of the need, and the amount to be shared. Sensitive medical details are never shared with other Members without explicit consent.
6.2 Service Providers
We engage trusted third-party service providers to perform functions on our behalf, such as payment processing, website hosting, data storage, email delivery, and accounting. These providers have access to personal and financial information only as needed to perform their services and are contractually bound to protect the confidentiality and security of that information.
6.3 Brokers and Referral Partners
If a Member enrolled through a broker or referral partner, that broker may receive limited information about the Member’s enrollment status and contribution history for the purpose of commission tracking and account management. Brokers do not have access to a Member’s health information or medical need submissions under any circumstances.
6.4 Legal Requirements & Law Enforcement
We may disclose information when required to do so by law, court order, or government regulation, or when we believe in good faith that disclosure is necessary to protect our rights, comply with legal process, prevent fraud, or protect the safety of Members, staff, or the public.

7. DATA SECURITY
Anglican Care takes the security of Member information seriously. We employ a combination of administrative, technical, and physical safeguards designed to protect information against unauthorized access, use, alteration, or disclosure. These measures include:
Encryption: Sensitive data, including health and financial information, is encrypted both in transit (using TLS/SSL) and at rest.
Access Controls: Access to Member information is restricted to authorized Ministry staff who require it to perform their duties. Access is reviewed regularly.
Secure Storage: Physical and digital records are stored in secure facilities with controlled access and environmental protections.
Staff Training: All Ministry staff and volunteers receive training on privacy, confidentiality, and data security practices upon onboarding and annually thereafter.
Vendor Oversight: Third-party service providers are vetted and required to maintain appropriate security standards under written agreements.
Incident Response: We maintain procedures for detecting, investigating, and responding to suspected data breaches in accordance with applicable law.
8. DATA RETENTION
Anglican Care retains Member information only as long as necessary to fulfill the purposes described in this policy and to comply with legal, accounting, and reporting requirements:
- Membership records: Retained for the duration of membership plus seven (7) years after termination.
- Medical need submissions: Retained for seven (7) years after the final determination.
- Payment records: Retained for seven (7) years after the last transaction.
- Website and technical data: Retained for up to twelve (12) months, then automatically deleted.
- Prospective Member applications (not enrolled): Retained for two (2) years, then securely destroyed.
When information is no longer needed, it is securely destroyed or permanently anonymized so that it can no longer be associated with an identifiable individual.
9. YOUR RIGHTS & CHOICES
As a Member or individual whose information Anglican Care holds, you have the following rights regarding your personal and health information:
Access: You may request a copy of the personal and health information we hold about you. We will provide it within thirty (30) days of receiving a verifiable request.
Correction: You may request that we correct any inaccurate or incomplete information. We will review and respond within thirty (30) days.
Deletion: In certain circumstances, you may request that we delete your personal information, subject to legal retention requirements and the Ministry’s legitimate need to maintain records.
Opt-Out of Communications: You may opt out of receiving non-essential communications, such as newsletters or Ministry updates, at any time by contacting us or using the unsubscribe link in our emails.
Restrict Sharing: You may request that we limit how your information is shared with brokers or referral partners, though this may affect commission crediting.
Data Portability: You may request a machine-readable copy of the personal information you provided to us, to the extent technically feasible.
10. WEBSITE & COOKIES
Our website uses cookies and similar technologies to enhance user experience, analyze traffic, and maintain session security. Cookies are small text files stored on your device.
- Essential cookies: Required for the website and Member portal to function properly. These cannot be disabled.
- Analytics cookies: Help us understand how visitors use our website so we can improve it. These are anonymous.
- You can control cookies through your browser settings. Disabling essential cookies may limit portal functionality.

11. CHANGES TO THIS PRIVACY POLICY
Anglican Care may update this Privacy Policy from time to time to reflect changes in our practices, legal obligations, or operational needs. When we make material changes, we will:
- Post the updated policy on anglicancare.org/privacy
- Notify Members by email at least thirty (30) days before the effective date
- Update the version number and effective date on the cover page of this document
Continued participation in the sharing ministry after the effective date of any updated policy constitutes acceptance of the revised terms.

By signing below, the Member acknowledges that they have received and reviewed this Privacy Policy and understand how Anglican Care collects, uses, and protects their personal and health information.
